What to put on an invoice

Use this as a checklist before you send. A missing invoice number or due date is the most common reason an invoice gets queried and paid late.

  • A unique invoice number in one unbroken sequence.
  • Issue date and due date, with the payment terms spelled out, such as Net 30.
  • Your details: business or legal name, address, email, phone and tax registration number if you have one.

United States

A UK VAT invoice needs your VAT registration number, the rate applied and the VAT amount per line or in total, plus a sequential invoice number. Add or remove VAT at 20% and other rates with the VAT Calculator.

European Union

EU invoices show the seller and buyer VAT IDs, the invoice date, a sequential number and the VAT rate per item. For cross-border B2B sales you usually apply the reverse charge and note it on the invoice.

Australia

A tax invoice over AUD 82.50 must carry the words Tax Invoice, your ABN and the GST amount at 10%. Use the tax toggle and the GST Calculator.

Canada

Show your GST/HST registration number and the GST, HST or PST amount for the province you bill in. The tax line accepts any rate and any label.

India

A GST invoice needs your GSTIN, the place of supply, HSN or SAC codes on each line and the CGST, SGST or IGST split. Switch on the SKU and tax columns to cover them.

How do I make an invoice for free?

What should an invoice include?

A complete invoice shows the word Invoice, a unique invoice number, the issue date and due date, your business name, address and contact details, your client's name and address, an itemised list of what you are billing for with quantity and rate, the subtotal, any tax, the total amount due, and how to pay you. Every template here has all of these, plus toggles for PO number, shipping address, SKU and a tax line.

What is the difference between an invoice and a receipt?

An invoice is a request for payment sent before the client pays. A receipt is proof of payment issued after the money arrives. Same design, different job: mark a paid invoice as Receipt in the document title and it works as one.

How do I invoice as a freelancer or self employed person?

Put your own name and address where a company name would go, add your tax or national insurance reference if your country asks for one, list your hours or deliverables as line items, and state your payment terms. You do not need a registered company to send an invoice.

Can I send an invoice without a company or a registered business?

Yes. Sole traders, freelancers and individuals can invoice using their own legal name and address. Add a tax registration number only if you are registered for VAT, GST or sales tax.

What are standard invoice payment terms?

Net 30 means payment is due 30 days after the invoice date. Net 15, Net 7 and Due on receipt are equally common, and shorter terms usually get paid faster. Set the terms field on any template to whatever you have agreed.

How should I number my invoices?

Use one sequence that never repeats and never skips, such as INV-2026-001 counting upward, or a per-client prefix like ACME-014. Sequential numbering is a legal requirement in the EU, UK and many other markets, and it makes reconciliation far easier at year end.

Do I have to charge sales tax, VAT or GST on an invoice?

It depends on where you are registered and where your client is. If you are registered, show your registration number, the rate applied and the tax amount. If you are not registered, leave the tax line switched off. Use the Sales Tax Calculator or VAT Calculator for the numbers themselves.

What is a proforma invoice?

A proforma invoice is a quote-like document sent before work starts or goods ship. It is not a demand for payment and does not go into your accounts as revenue. Change the document title to Proforma Invoice on any template to send one.

How do I invoice for hours worked?

Enter the task as the description, the number of hours as the quantity and your hourly rate as the rate. The line total and the invoice total calculate as you type. Add separate lines for different rates, such as design at one rate and revisions at another.

What can I do if a client does not pay an invoice?

Send a polite reminder the day after the due date, then a second at seven and fourteen days. State any late fee you agreed in advance, for example 1.5% per month, and keep the original invoice number in every message. Turn on the late fee clause so the term is on the invoice from the start.

Can I get an invoice template for Word, Excel or Google Docs?

What a work order is for

A work order is the document that turns an agreement into an instruction. It says what will be done, where, when, by whom, and who authorised it. In trades and facilities work it is also the thing that gets signed on site, which is why the signature block is not decoration.

Work order, job sheet or purchase order

A work order authorises work to be done for a customer. A job sheet records what was actually done, usually on the day. A purchase order is you ordering from a supplier. They travel together on most jobs and are frequently confused, which is how work gets carried out that nobody agreed to pay for.

From work order to invoice

Reference the work order number on the invoice and bill the lines it authorised. Anything extra goes on as its own line with the date it was agreed. A signed work order is the strongest evidence there is that the work was wanted.

What is a work order?
