What a job estimate form should include

Both parties' details, an estimate number and date, the work broken into lines a client can question one at a time, quantities and unit costs, any allowances, the assumptions the numbers rest on, and a validity window. The best estimates also say what would change the price, because surprises cost more than honesty.

Estimate template for Excel, Word or Sheets, minus the file

Spreadsheet estimates have a habit of breaking at the worst moment: a formula overwritten, a column resized, a total that quietly stopped adding. The estimate layouts here keep the math and the design out of your hands; you supply lines and numbers, the page keeps them honest.

Estimate template questions, answered

Are the estimate templates free?

Yes. Every design edits and exports without payment, registration or watermarks. Accounts exist purely to keep copies.

Is an estimate legally binding?

That depends on the wording and the law where you trade, so check the rule there. An estimate is usually read as an informed prediction rather than a fixed offer, which is why these designs label the document clearly and give the assumptions their own block. If the price must bind, send a quote instead.

How accurate should an estimate be?

Accurate enough that the final figure is not a surprise. Give a range where a range is the truth, name every allowance on its own line, and write the assumptions down. A figure you later move without explanation reads as a price rise; movement the client was warned about reads as honesty.

Can I convert an estimate into a quote or invoice?

Yes. The same design families run across the quote and invoice studios, so the paperwork keeps one look from first estimate to final bill.

What is the difference between an estimate and an invoice?

An estimate comes before the work and says what it is likely to cost. An invoice comes after, or at an agreed stage, and asks to be paid a set amount by a due date. When the job is done, open the same design in the invoice templates and the lines carry over.

Should an estimate show taxes?

Show tax as its own line or state that it is excluded. The designs here carry a tax row you can toggle, so the treatment is explicit either way.

What makes an estimate look professional?

Structure and candor. An itemized breakdown, written assumptions, a validity date and clean typography signal that the final invoice will be just as orderly.

What is an estimate template?

Can I get this estimate template as an Excel file?

Are the estimate templates printable?

How do I write an estimate for a job?

Split the work into pieces a client can challenge individually, price each with quantity and unit cost, state the assumptions and allowances, date the validity, and note what would move the number. The designs hold that structure for you.

What is an allowance on an estimate?

A figure held for something not chosen yet, tiles or fittings for example. Say on the line that it is an allowance and what happens if the choice costs more.

Should an estimate include a deposit?

If you take one, put it on the document. Set the deposit and the balance due falls out of it, so the client can see what is needed to start.

Can I charge for writing an estimate?

Some trades do, especially where the estimate needs a site visit or a survey. If you charge, say so before you attend and put the fee on the document, with a line saying whether it comes off the job if the work goes ahead.

What happens when the scope changes?

Raise a change order against the original rather than quietly rewriting the estimate. Keep both, and the client can see what changed and why.

Estimate format, and how an estimate differs from a quote

An estimate is your considered view of what a job will cost before the scope is firm. A quote is a fixed price. The estimate form below carries the same blocks with two differences: the figures are allowed to move, and the assumptions behind them are written down. Every label is editable, so the same editable estimate template works as a bid sheet template or a written proposal.

  • Job estimate template. Labor, materials and anything bought in, one line each, with quantities.
  • Contractor estimate template and construction estimate template. Add the site, the access notes and the allowances that will be confirmed once work starts.
  • Repair estimate template. Diagnosis, parts and labor, with the parts priced separately.
  • Cost estimate template. A total with a deposit line, so the client can see what is due to start.

Allowances, ranges and the change order

An estimate is honest about what is not known yet. Three habits keep it honest without making it useless to the client.

  • Name the allowance. A figure for tiles you have not chosen is an allowance, not a price. Say so on the line, and say what happens if the choice costs more.
  • Give a range where a range is the truth. Two figures with the reason between them reads as competence. One figure you later move reads as a price rise.
  • Write the assumptions down. Access, power on site, who clears the old material away, what happens if the wall opens up worse than it looked. The notes block is where the job stops being a guess.

When the scope does move, a change order records the difference rather than quietly rewriting the estimate. Keep the original, raise the change against it, and the client can see what changed and why.

Estimate, then quote, then invoice

The order matters. An estimate opens the conversation, a quote fixes the price once the scope is firm, a work order puts the crew on site, and an invoice asks to be paid. Every design here exists in all five, so the job keeps one look from the first figure to the last. Why an estimate layout needs room a quote does not

An estimate is a considered guess, and the layout has to make that visible without making it look vague. A quote says this is the price. An estimate says this is what it is likely to cost, and here is what would move it. Those are different promises, and a client who reads one as the other will be unhappy later whichever way it went.

So an estimate design needs space a quote does not: a range rather than a single figure on at least some lines, an allowance line for the things not yet specified, and room for the assumptions the estimate rests on. The assumptions section is the one people leave off and the one that saves the job. Two coats not three. Existing substrate sound. Access during working hours. Each one is a sentence that prevents an argument.

The contingency is the other thing worth designing for. A percentage held against the unknown is normal on any job where something is hidden behind a wall, and a layout that shows it as its own line makes it a discussed figure rather than padding the client discovers by dividing.

Where an estimate lands on a firm price, it stops being an estimate and becomes a quote. That is not a formatting change, it is a commitment, and it is worth saying so on the document.

Put your trade on the page

Open any design and the Trade mark panel offers a small drawing of your work in one of four places. Forty six trades, from plumbing to photography, and one switch to show or hide the lot.

One switch shows it and hides it. The mark is off until you turn it on, and hiding it remembers which treatment you picked. It sits in a clear part of the page margin so it never lands on an address, and it prints and exports with the document. It is a drawing of the equipment rather than a logo: your own logo still goes where it always did.
