InvoiceTools

Work smarter • Zapier integration

The InvoiceTools app is public in Zapier's app directory and carries Zapier's Beta tag.

Make your invoices work with the apps you already use.

Turn a new customer request into a draft quote, create invoices from your spreadsheet, and update your records when your documents change status.

Start with a useful automation

Ten workflows we have submitted to Zapier as Zap templates. Three are live on Zapier and have a start link; the rest are in Zapier's review. You connect your own apps, and you need a Zapier account.

Create in InvoiceToolsLive on Zapier

Create InvoiceTools draft invoices from new Google Sheets rows

Each new spreadsheet row becomes one editable draft invoice linked to the client you name.

Google Sheets: New Spreadsheet RowInvoiceTools: Create Invoice
1 trigger1 actionDraft

Draft only. No email sent, no card charged.

How it works
  • Pre-filled: client name, client email, line description and unit price come from columns A to D.
  • You choose: the spreadsheet and worksheet. Dates, terms, currency and notes use your account defaults.
  • One row is one invoice with one line item. Blank optional fields follow your defaults.

Create InvoiceTools draft quotes from new Google Forms responses

A new form response becomes a draft quote for the client, ready for you to review before it goes anywhere.

Google Forms: New Form ResponseInvoiceTools: Create Quote
1 trigger1 actionDraft

Draft only. Review before sending.

How it works
  • Pre-filled: client email comes from the respondent email, with starter text for the description.
  • You choose: the form, and which questions hold the service and the price, because every form is different.
  • Map only the answers you need. Leave sensitive answers out.

Post Slack channel messages when InvoiceTools invoices are paid

Tell your team in Slack when an invoice has been paid in full.

InvoiceTools: Invoice PaidSlack: Send Channel Message
1 trigger1 actionNotification

Notification only. It does not record or charge a payment.

How it works
  • Message: invoice number, client name, and the invoice total with its currency. The total is labeled as the total.
  • Fires once, when the invoice is paid in full. A part payment does not send it.
  • You choose: the Slack channel.

Create Gmail reminder drafts for overdue InvoiceTools invoices

Get an unsent reminder draft in your own inbox for each overdue invoice, to review before you contact anyone.

InvoiceTools: Invoice OverdueGmail: Create Draft
1 trigger1 actionUnsent draftChecked daily

Gmail draft only. It never sends an email.

How it works
  • Subject, and a body with the amount due, currency, due date and client link, are pre-filled.
  • You choose: the To address. Use your own address, not your client's. Nothing is sent from this Zap.
  • Overdue invoices are checked once a day (02:40 UTC), so this is not real time. Each invoice triggers it once.

Create Trello cards for accepted InvoiceTools quotes

Add an internal follow-up card to your board when a client accepts a quote.

InvoiceTools: Quote AcceptedTrello: Create Card
1 trigger1 actionInternal task

Internal follow-up. Not a booked job.

How it works
  • The card has the quote number, client name, total, currency and quote link. Its name starts with "Schedule job:" as a reminder to plan the work. Nothing is scheduled or booked.
  • You choose: the Trello board and list.

Add new InvoiceTools clients to Google Sheets rows

Keep a simple client register in a spreadsheet alongside your own reporting.

InvoiceTools: New ClientGoogle Sheets: Create Spreadsheet Row
1 trigger1 actionClient contact dataPolling trigger

Client contact data. Restrict who can open the sheet.

How it works
  • You choose: the spreadsheet, worksheet and column mapping. Sheet columns differ for everyone, so none are pre-filled.
  • Map only the fields you need, such as name and email.
  • This trigger checks for new clients on a schedule, so timing depends on your Zapier plan.

Create InvoiceTools clients from new HubSpot contacts

Turn each new HubSpot contact into an InvoiceTools client, ready for a quote or invoice.

HubSpot: New ContactInvoiceTools: Create Client
1 trigger1 actionClient contact dataPolling trigger

Adds clients only. A client with the same email is kept, not duplicated.

How it works
  • Pre-filled: first and last name, email and phone from the contact.
  • If a client with that email already exists, InvoiceTools returns it instead of making a second one.
  • HubSpot checks for new contacts on a schedule, so timing depends on your Zapier plan.

Keep a running payment log in a spreadsheet for bookkeeping.

InvoiceTools: Payment ReceivedGoogle Sheets: Create Spreadsheet Row

  • Available fields: invoice number, amount, currency, method and date.

How these stay safe. Invoice and quote workflows create editable drafts only. The Gmail workflow creates an unsent draft in your own inbox. The Trello workflow adds an internal follow-up card, not a booked job. The Slack workflows only post a message. The HubSpot workflow only adds clients, and the payments workflow only adds sheet rows. Apps are connected, fields mapped, and Zaps reviewed and turned on in Zapier, never by us.

The InvoiceTools steps were tested on app version 1.2.2. The steps in Google Sheets, Google Forms, Slack, Gmail and Trello belong to those apps, and we have not tested them end to end yet. Until a template is approved, you can build the same Zap yourself in Zapier's editor with the InvoiceTools app.

Connect in three simple steps

Connection needs the InvoiceTools Business plan and a Zapier account.

1

Open your account

Sign in with a Business plan account. Your free PDF creators remain available without one.

2

Create an API key

Find it in Account, under Apps and API. Treat this key like a password and never send it in email.

3

Connect securely

When you add InvoiceTools in Zapier, paste the key only on Zapier's own connection screen.

How a workflow runs

Every workflow follows the same three steps.

Three steps. An event in another app starts the Zap. Zapier maps the fields after you connect your accounts. The last step creates a draft, alerts your team or adds a follow-up task. A draft does not email a client or charge a card.
  1. Start with an event. A form, spreadsheet row or InvoiceTools status starts the Zap.
  2. Map the fields. Connect your accounts in Zapier and review the data before you turn it on.
  3. Finish the workflow. Create a draft, alert your team or add a follow-up task. Draft creation does not email a client or charge a card.

What the Zapier app can do

Version 1.4.0 of the InvoiceTools app, public in Zapier's app directory with Zapier's Beta tag. Event triggers match the webhook events, and actions use the public API. Update actions change drafts only and never send an email. Quote Expired and Invoice Due Soon are checked once a day, so they are not real time.

Questions

Which plan do I need?

The Zapier connection needs the InvoiceTools Business plan and a Zapier account. You create the API key yourself in Account, under Apps and API. The free PDF tools still need no account.

Is my API key safe?

Treat the key like a password. Enter it only on Zapier's own connection screen, never in an email, a chat or a spreadsheet. You can manage your keys in your account at any time.

Does it send emails or charge cards automatically?

No action charges a card. Create Invoice and Create Quote make editable drafts. An email goes out only when a Zap uses the Send Invoice or Send Quote action, and Record Payment only logs a payment you already received.

Is InvoiceTools in the Zapier app directory?

Yes. The InvoiceTools app is public in Zapier's app directory and carries Zapier's Beta tag. Search for InvoiceTools when you add a step, then connect it with an API key from a Business plan account.

Are there ready-made Zap templates?

Yes. Three are live on Zapier: Google Sheets rows to draft invoices, Slack messages for paid invoices, and Trello cards for accepted quotes. Seven more are in Zapier's review, and approval is up to Zapier. You can build any of these workflows in Zapier's editor with the InvoiceTools app today.

Who do I contact if a Zap fails?

For tasks that fail, the Zap editor, Zapier login or Zapier plan limits, use Zapier help. For your InvoiceTools API key, Business plan access, an InvoiceTools step that fails, or the data in your documents, contact InvoiceTools support.

Zapier is one of several ways to connect. See every integration, including what works today without an account and which direct apps are proposed.

Connect your business, not another set of tools

The InvoiceTools app is public in Zapier's app directory. Connect it with a Business plan API key, or use the documented API directly.

Send it yourself, or send it and watch it

Everything here is free. Generators, calculators and downloads need no account. Send a document as a link instead and you see when it was opened, which line they questioned, and who signed it, so chasing becomes a decision rather than a guess.

The first four documents you send as a tracked link are free with an account. Everything else on InvoiceTools.com stays free. Generators, calculators and downloads need no account; template designs need a free one.
