Invoice Template Google Sheets

A clean .docx you can put your details into and send today.

Download the file, open it in Word, replace the placeholders, save as a PDF. It also opens in LibreOffice and Google Docs, and the free invoice generator does the math and numbering when you want them done for you.

When the generator is the better tool

Word does not calculate, number invoices or remember clients. When a job has more than a couple of lines, the free invoice generator works out every amount, carries your details between documents and exports the same print-ready PDF. And when you want a different look, the Template Studio holds 102 editable designs.

This template also comes as an Excel and a fillable PDF file, and opens in Google Docs.

16 templates for Google Sheets

Each is an .xlsx with the formulas already written, which is the format Google Sheets opens natively. Filter, download, upload.

Opening one in Google Sheets

  1. Download the .xlsx above. Google Sheets opens Excel files natively.
  2. Go to Google Drive, then New, then File upload, and pick the file.
  3. Right click it in Drive and choose Open with, then Google Sheets.
  4. Type the quantity and the rate on each line. The amount, subtotal, tax and total calculate in the browser.
  5. To send it, use File, then Download, then PDF.

The formulas are ordinary SUM and multiplication, so they survive the conversion exactly. We do not hand out Make a copy links, because that would keep your invoices in an account we control.

What calculates for you

  • Amount on each line, from the quantity and the rate
  • Subtotal across all ten line rows
  • Sales tax, worked off the subtotal after any discount
  • Total due, with the discount taken off and the tax added

Other formats

Common questions

How do I use these in Google Sheets?

Download the .xlsx, upload it to Google Drive, then right click and choose Open with, Google Sheets. It converts on open and the formulas keep working.

Do the formulas survive the conversion?

Yes. They are ordinary SUM and multiplication rather than anything Excel specific, which is what converts cleanly into Sheets.

Why is there no Make a copy link?

A copy link would host your invoice in an account we control. Uploading to your own Drive keeps the file, and every figure in it, with you.

Can I use it on a phone?

Yes. The Google Sheets app opens the uploaded file and recalculates the same way, which is enough to raise an invoice from a van.

How do I set my tax rate?

Type it into the cell marked Sales tax %. The tax line works off the subtotal after any discount, so the order is already right.

Is it free?

Yes, all sixteen, with no signup and no watermark.

Does it work in Google Docs?

Yes. Upload the .docx to Google Drive and open it with Google Docs; the layout carries over. It also opens in LibreOffice and Pages.

How do I turn it into a PDF?

In Word use File, then Save As, and choose PDF. The client gets a fixed file that looks the same on every device.

Can I add my logo?

Yes. Click into the business block, insert your logo image above or beside the name, and delete any placeholder lines you do not use.

Does Word work out the totals?

No, Word does not calculate. Type the amounts yourself, take the Excel version of this template, or let the free invoice generator do the math and the numbering.
