What to include in an HVAC invoice
- Diagnostic fee. The charge for finding the fault, on its own line, so the repair price does not have to absorb the time spent testing.
- Equipment make, model, serial. The make, model and serial number of the furnace, condenser or heat pump you worked on, which manufacturers ask for on warranty claims.
- Refrigerant type and pounds. The refrigerant type and the pounds added, which explains the charge and records a possible leak the next technician will want to know about.
- Parts and warranty coverage. Each part with its price, and whether the manufacturer's parts warranty covered it, so the customer sees why labor was still billed.
- Filters by size and count. Filters listed with their size and quantity, so the customer can buy the right ones between visits and see what was replaced.
- Labor and after-hours rate. Hours on diagnosis and repair, with any night, weekend or holiday rate shown on a separate line from standard labor.
- Maintenance plan visit. The plan the visit falls under and which seasonal check it was, so a covered tune-up is not billed twice.
- License number and service address. Your contractor license number and the address of the equipment, which can differ from the owner's billing address.
