About these Excel invoice templates
Every design is a real Excel workbook with the arithmetic already in it. Type a quantity and a rate and the line total appears; the subtotal, the sales tax, the deposit and the balance due follow on their own. The workbooks open in Excel, Numbers, LibreOffice and Google Sheets, and nothing is locked or hidden in a macro.
Every card shows the workbook you get. Choose Simple under Style for 10 plain designs, or Trades and construction for the 5 built around job references and retainage; the contractor invoice template page goes further. If you would rather not open a spreadsheet, the invoice generator does the same sums in a form.

What is in every workbook
The same billing blocks in all fifty, plus the four formulas that stop the arithmetic being your problem.
Using it in Excel
- Open the .xlsxExcel, Numbers, LibreOffice or Google Sheets all read it. Nothing is locked and no macros are used, so there is no security prompt to clear.
- Fill the headerBusiness name, address and contact on the left, invoice number and dates in the row underneath.
- Type the work into the description, quantity and rate columnsThe amount column fills itself in. Leave a row empty and it stays empty rather than showing a zero.
- Set the tax rateOne cell holds the rate as a percentage. The tax figure recalculates against the subtotal after any discount, so you never work out the percentage by hand.
- Print or send as PDFThe print area is already set to one page. File, then Export or Save As, and choose PDF.
Every figure is a formula you can read and change. If you would rather not open a spreadsheet at all, the invoice generator does the same arithmetic in a form and exports a finished PDF.
What works itself out
Four formulas, all of them readable. Nothing is hidden in a macro and nothing is locked, so you can see exactly how a figure was reached. The third column is the formula as it appears in every one of the fifty downloads, so you can check it against the cell.

Questions, answered
Is there a blank invoice template for Excel?
Yes. Every design downloads as a blank invoice template in Excel, as a real .xlsx with the line total, subtotal, tax and total already formulas, so the arithmetic is done as you type.
Can I lay it out before I open a spreadsheet?
Yes. Click a design and it opens in an editor on this page, where the totals recalculate as you type and any block you do not need can be deleted. Download the .xlsx when you want the formulas in a spreadsheet you keep.
Are these Excel invoice templates free?
Yes. Downloads need no account, and nothing has a watermark or a trial. Editing a design here needs a free account. Use them for client work.
Which cells calculate and which do I type in?
You type the description, the quantity, the rate, the discount, the tax rate and anything already paid. The amount column, the subtotal, the sales tax and the balance due are formulas.
Will the formulas survive in Google Sheets?
Yes. Upload the .xlsx to Drive and open it with Sheets. The formulas are ordinary SUM, IF and ROUND, which Sheets reads without changing anything. There is a Google Sheets edition with the steps written out if you would rather start there.
Does it work in Apple Numbers?
Yes. Numbers imports the .xlsx and keeps the formulas. It rewrites some formatting on import, so check the print preview before you send it.
How do I add more line rows?
Right click a row inside the table and choose Insert. Copy the amount cell from the row above so the new row multiplies too, then check that the subtotal range covers it. If you paste over a formula by accident, undo, or copy the formula down from the row above.
How do I change the currency?
Select the money cells, open the number format menu and pick your currency. The formulas do not care which symbol is shown.
Can I charge tax on some lines and not others?
Not in this layout. It applies one rate to the whole invoice, which is the common case. For mixed rates, split the work across two invoices or add a second tax row and adjust the balance formula.
How do I export it as a one page PDF?
File, then Export or Save As, and choose PDF. Each workbook is already set to fit one page wide and one page tall on US Letter, with the print area saved, so a print or a PDF export gives you the invoice on one page and nothing else.
Does it handle a deposit or part payment?
Yes. Put what the client has already paid in the amount paid cell and the balance due updates. That is the figure to put in your chasing email.
Are there macros in the file?
No. It is a plain .xlsx, so nothing needs enabling and nothing runs when you open it.
How do I change the tax rate?
The rate is a cell of its own, shown as a percentage. Type your rate into it and the tax and the balance recalculate. Set it to zero and the tax line reads nothing.
Does Excel have its own invoice templates?
Yes. File, then New, and a search for invoice lists Microsoft's own. The workbooks here are built around billing fields: a PO or job reference, a discount, tax at a rate you set, the amount paid and a balance due that is a formula.
Can I use it for hourly work?
Yes. Put the hours in the quantity column and your hourly rate in the rate column, and the amount works itself out. For a week of logged hours, the timesheet totals them first.
Is there an Excel invoice template for contractors?
Yes. Filter by Trades and construction and 5 designs remain, with fields such as a job reference and retainage above the line items. The formulas are the same as in every other design.
