Can I invoice a roofing deposit?

Yes. Bill the deposit on its own invoice before the tear-off, or as the first line of the job invoice. The final invoice shows the deposit as paid, so the customer sees only the balance due.

Can I itemize roofing materials and labor?

Yes. Give shingles, underlayment, flashing, vents, permit and disposal their own lines, with labor apart, so the customer and any insurer can read what was replaced and at what price.

Can I send a roofing estimate online?

What should a roofer invoice include?

Show the roof area in squares, the tear-off and number of layers, the shingles and underlayment by brand and color, and any decking or flashing found once the roof was open. Add the dumpster, the permit, the claim number on insurance jobs and your license number, so homeowner, insurer and inspector all read the same bill.

How much should I charge for a roof inspection and report?

Roof pitch and height, access, whether you walk it or use a drone, and how detailed the report must be for an insurer or a home sale all change it. Some roofers credit the fee against a repair they win. The generator opens that line at $120.00 so the page is not blank; enter your own figure.

When should a roofer take a deposit?

Before you order materials, because shingles and underlayment are delivered to the site ahead of the crew. Some states cap deposits on home improvement contracts and set extra rules for storm damage contracts, so check yours. On insurance jobs, bill in stages as the insurer releases each payment, using progress billing on one running invoice.

Can I waive the insurance deductible on a roofing invoice?

You should not. The deductible is the homeowner's share of the claim, and several states make it illegal for a contractor to waive, absorb or rebate it, including through a disguised discount. Billing an insurer for money the homeowner never paid can also be treated as insurance fraud. Show the full price and record the deductible as the homeowner's payment, and check your state's rules.

What can I do if a roofing invoice is not paid?

Every state gives contractors some form of mechanic's lien, but each sets its own notice and filing deadlines, and some require a preliminary notice before work starts. Send a reminder and a statement, and track the deadline from your last day on the roof. Hand over a lien waiver only once each payment has actually cleared.

Do I charge sales tax on a roofing job?

It depends on the state and on how it treats roofing contractors. In many states a contractor pays tax when buying the materials and does not charge it on the finished roof, while others tax repair labor or the materials billed to the customer. Keep materials, labor and disposal on separate lines and check your state's rules.

How do I bill decking or extra layers found during tear-off?

Put a per-sheet price for decking and a price per extra layer in your contract before the job starts, since neither can be seen from the ground. Photograph what you find, get approval, and bill the actual count as a change order line. On an insurance job, send the photos to the adjuster as a supplement.

What to include in a roofer invoice

  • Squares installed. Roof area in squares of 100 square feet each, the unit suppliers and insurance adjusters use, so your count can be checked against theirs.
  • Tear-off and layers. Removal of the old roofing with the number of layers stripped, since each extra layer adds labor and disposal weight.
  • Dumpster and haul-away. The dumpster rental and disposal as one line, so the customer sees a single fixed cost for clearing the old roof away.
  • Materials by brand. Shingle brand, line and color, plus underlayment, ice and water shield and drip edge, which the manufacturer warranty and any insurer will want recorded.
  • Decking and flashing repairs. Rotted sheathing replaced by the sheet and flashing renewed at chimneys, walls and vents, counted separately because they only show once the roof is open.
  • Permit and inspection. The building permit number and fee, plus the final inspection, where your city or county requires a permit for reroofing.
  • Insurance claim number. The claim number and the adjuster's scope reference on storm jobs, so the invoice lines up with the insurer's estimate and each payment release.
  • License and job address. Your roofing or contractor license number in states that license roofers, and the property address that lien and warranty paperwork both rely on.
