How this site is made

How we build the tools and guides

InvoiceTools is built and run by one person: a working painting contractor and HVAC technician in Houston, Texas, who invoices his own jobs with the tools on this site. There is no editorial team and no panel of reviewers. What there is instead is a builder who has to use every generator himself, on real customers, and fixes what breaks.

What is on the site

Six document generators, 29 business calculators, 200 templates, 46 trade pages, 48 guides, 19 articles and a 63-term glossary.

Where the trade content comes from

The line items on each trade page, the units they bill in and the terms they use come from doing the work. A painter bills by the wall and the coat; an HVAC technician bills a call-out and then parts and labor. Trades outside the builder's own were written from the same starting point, how the work is actually billed, and if someone in that trade says a unit or a line is wrong, it gets changed.

How it is tested

Every page is checked in a real browser at seven screen widths before it ships. Exports are tested with the CDN blocked, so a PDF still works on a van with no signal. Printed pages are rendered and checked for ink, because a print stylesheet that hides everything produces a blank sheet that no click test notices. When a check passes for the wrong reason, the check is fixed before the page is.

How it is kept current

Every guide carries a "last reviewed" date. That date is the page's real modification date from the sitemap, not a number typed in to look fresh. Tax tables and year references live in one source of truth so no copy can lag behind another.

What this site is not

Not legal advice. The builder is a tradesperson, not a lawyer. Every guide that discusses deposits, cancellation, late fees or lien rights says so, because those rules differ by state and a clause that holds in Texas may not hold in California. Have any wording you rely on checked for your state before it goes on a real document. No page on this site claims attorney review, because none has had it.
