Free HVAC estimate template

A free HVAC estimate template gives you the lines, the allowances and the assumptions to write down before the work is fully known.

The short version

An HVAC estimate usually starts from a symptom, such as weak cooling or noise, long before the cause is confirmed. A good HVAC estimate separates the lines you are sure of from the ones that depend on what you find, and gives the client a range.

Hvac estimate lines and allowances

The estimate below is for a cooling complaint with an unknown cause, starting with a diagnostic visit. Each line is either firm or an allowance with a range of quantities. The rates are examples from the starter lines in the cost estimator, not market prices, so replace them with your own.

Line itemUnitQty or rangeExample rateBasis
Diagnostic and inspectionjob1$150.00Firm
Filter replacementAllowance: filters only if they are found dirty or damaged.each0 to 2$35.00Allowance
Refrigerant, R-410AAllowance: pounds added depend on the leak found.lb0 to 4$150.00Allowance
LaborAllowance: repair time is unknown at the start.hour1 to 4$70.00Allowance
Refrigerant recovery and disposalAllowance: only if refrigerant must be removed.job0 to 1$45.00Allowance

The R-410A lines apply to servicing existing systems. Newer systems may use a different refrigerant, so confirm the type on the unit before you price it.

Worked estimate range

Adding the firm lines to the allowances at their smallest and largest quantities gives a low end and a high end. The tax rate is an example only, so use your own and your local treatment.

Estimate rangeLow endHigh end
Firm lines$150.00$150.00
Allowances (minimum and maximum quantities)$70.00$995.00
Subtotal$220.00$1,145.00
Sales tax at an example rate of 8%$17.60$91.60
Estimated total$237.60$1,236.60

This is not a fixed price. It is a range the client can plan around until the unknowns are resolved.

Assumptions behind an HVAC estimate

  • Symptom. The range assumes a leak or a worn component, not a failed compressor. A compressor failure is a different estimate.
  • Refrigerant. Pounds of refrigerant are an allowance until the leak is found and repaired.
  • Time. Labor is a range because diagnosis and repair time are not known at the start.

What can change the price

Write these on the estimate so a revised figure is never a surprise:

  • A failed compressor or coil.
  • Refrigerant needed beyond the allowance.
  • Duct or electrical problems found during diagnosis.

When to send a quote instead

An HVAC technician gives an estimate for a repair that still needs diagnosing, and a quote for an equipment replacement once the unit and scope are chosen. Once the scope is fixed, move to the HVAC quote template, which adds a fixed scope, exclusions, a payment schedule and a place to sign.

The paperwork is the part that gets you paid

An estimate or a quote wins the job. A clear invoice with a due date gets it paid, and a late fee stated on the document is one you can actually apply.
