What goes on a HVAC technician invoice

  1. Separate the service visit from any repair. A scheduled service and a fault found during it are two things. One line for both hides what was actually done.

Maintenance contracts, and the visit that was supposedly included

A maintenance agreement is the best revenue in HVAC and the easiest place to lose money, because customers reasonably assume that anything happening during a covered visit is covered.

The invoice is where that gets settled. Show the contract visit as its own line, at zero or at the contract rate, then show any repair as a separate chargeable line. The customer sees exactly what the contract paid for and what it did not.

Define the contract in countable terms on the invoice: number of visits, filters included, response time. A contract described only as a price is renegotiated on price every year.

Refrigerant, and why the weight goes on the document

Adding refrigerant without recording it is a habit that causes problems in two directions: regulatory record-keeping, and a customer who does not understand why a top-up costs what it does.

Put the weight and the type on the invoice line. It turns an unexplained charge into a measured one, and it gives both of you a record that a system needing repeated top-ups has a leak that ought to be found rather than fed.

Where a leak test is carried out, bill it as its own line. It is diagnostic work and it is the thing that stops the customer paying for refrigerant three times a season.

Emergency callouts and the rate that already exists

Heating fails in cold weather and cooling fails in hot weather, which means your emergency work clusters exactly when your capacity is lowest.

Have an emergency and out-of-hours rate printed on your invoice template with a zero quantity when unused. It costs nothing until you need it, and it settles the pricing conversation at the door rather than afterwards.

For commercial customers, tie it to a stated response time. A four-hour response is a product, and one priced at your normal day rate is a product you are giving away.

Hourly, fixed price or per unit: how HVAC technicians price the work

HVAC runs two pricing models side by side because it runs two businesses side by side. Reactive callouts are hourly with parts on top, and planned maintenance is a contract price paid whether or not anything breaks. The contract is the one that pays your winter.

The move that changes an HVAC business is converting reactive customers to contracts, and the invoice is part of that. Put the maintenance option on the callout invoice as a named line with its price, so the customer reads it at the moment their system has just failed.

Working out what to charge

Mistakes that cost HVAC technicians money

  • Service and repair on one line. The customer cannot see what the contract covered and what it did not.
  • Refrigerant added without a recorded weight. Bad for records and bad for explaining the charge.
  • Maintenance contracts defined only by price. They get renegotiated on price every single year.
  • No unit or site reference. A multi-site customer cannot approve it.
  • No emergency rate on the template. It gets set during the emergency.
