Free landscaping estimate template

A free landscaping estimate template gives you the lines, the allowances and the assumptions to write down before the work is fully known.

The short version

A landscaping estimate has to cope with quantities that are measured by eye on a first visit and by tape on the second. A good landscaping estimate separates the lines you are sure of from the ones that depend on what you find, and gives the client a range.

Landscaping estimate lines and allowances

The estimate below is for clearing a bed and laying sod, where the area is judged by eye until it is measured. Each line is either firm or an allowance with a range of quantities. The rates are examples from the starter lines in the cost estimator, not market prices, so replace them with your own.

Worked estimate range

Adding the firm lines to the allowances at their smallest and largest quantities gives a low end and a high end. The tax rate is an example only, so use your own and your local treatment.

Estimate rangeLow endHigh end
Firm lines$410.00$410.00
Allowances (minimum and maximum quantities)$620.00$1,950.00
Subtotal$1,030.00$2,360.00
Sales tax at an example rate of 8%$82.40$188.80
Estimated total$1,112.40$2,548.80

This is not a fixed price. It is a range the client can plan around until the unknowns are resolved.

Assumptions behind a landscaping estimate

  • Area. The range assumes the area judged on the first visit. Sod and mulch are allowances until it is measured.
  • Ground. It assumes soil that can be graded without importing fill or removing rock.
  • Plants. It assumes common plants available that season. Substitutions are agreed with the client.

What can change the price

Write these on the estimate so a revised figure is never a surprise:

  • A larger area than first estimated.
  • Roots, rock or buried lines found during clearing.
  • Drainage work needed before sod goes down.

When to send a quote instead

A landscaper gives an estimate after a first look at the yard, and a quote once the beds are measured and the planting scheme is agreed. Once the scope is fixed, move to the landscaping quote template, which adds a fixed scope, exclusions, a payment schedule and a place to sign.

The paperwork is the part that gets you paid

An estimate or a quote wins the job. A clear invoice with a due date gets it paid, and a late fee stated on the document is one you can actually apply.
