Free painting estimate template

A free painting estimate template gives you the lines, the allowances and the assumptions to write down before the work is fully known.

The short version

A painting estimate sets the expectation for rooms, coats and prep before the client has chosen colors or moved furniture. A good painting estimate separates the lines you are sure of from the ones that depend on what you find, and gives the client a range.

Painting estimate lines and allowances

The estimate below is for repainting three rooms, where the condition of the walls is not fully visible until furniture is moved. Each line is either firm or an allowance with a range of quantities. The rates are examples from the starter lines in the cost estimator, not market prices, so replace them with your own.

Line itemUnitQty or rangeExample rateBasis

Paint and materialsjob1$190.00Firm
Surface preparation and fillingAllowance: patching beyond what is visible on the first walkthrough.job1 to 2$220.00Allowance
Trim and baseboardAllowance: trim, only if the client confirms it is included.linear foot0 to 80$3.75Allowance
LaborAllowance: extra days if prep runs long.day0 to 2$240.00Allowance

Worked estimate range

Adding the firm lines to the allowances at their smallest and largest quantities gives a low end and a high end. The tax rate is an example only, so use your own and your local treatment.

Estimate rangeLow endHigh end
Firm lines$1,030.00$1,030.00
Allowances (minimum and maximum quantities)$220.00$1,220.00
Subtotal$1,250.00$2,250.00
Sales tax at an example rate of 8%$100.00$180.00
Estimated total$1,350.00$2,430.00

This is not a fixed price. It is a range the client can plan around until the unknowns are resolved.

Assumptions behind a painting estimate

  • Walls. The range assumes walls in fair condition with minor nail holes. Heavy patching or water stains are an allowance.
  • Colors. It assumes standard colors on the same coat count. A deep color that needs an extra coat changes the price.
  • Furniture. It assumes the client moves small items and you cover the rest.

What can change the price

Write these on the estimate so a revised figure is never a surprise:

  • Wall damage found after furniture is moved.
  • A color change that needs a primer coat.
  • Trim that the client decides to add.

When to send a quote instead

A painter might give a rough estimate over the phone from room counts, then send a quote after a walkthrough that fixes surfaces, coats and paint. Once the scope is fixed, move to the painting quote template, which adds a fixed scope, exclusions, a payment schedule and a place to sign.

The paperwork is the part that gets you paid

An estimate or a quote wins the job. A clear invoice with a due date gets it paid, and a late fee stated on the document is one you can actually apply.
