Free plumbing estimate template

A free plumbing estimate template gives you the lines, the allowances and the assumptions to write down before the work is fully known.

The short version

A plumbing estimate often has to be given while the fault is still hidden behind a wall or under a floor. A good plumbing estimate separates the lines you are sure of from the ones that depend on what you find, and gives the client a range.

Plumbing estimate lines and allowances

The estimate below is for a call-out to find and fix a leak whose cause is not yet known. Each line is either firm or an allowance with a range of quantities. The rates are examples from the starter lines in the cost estimator, not market prices, so replace them with your own.

Line itemUnitQty or rangeExample rateBasis
Emergency call-out and first hourjob1$95.00Firm
Waste removal and disposaljob1$40.00Firm
LaborAllowance: labor beyond the first hour depends on access and the fault.additional hour1 to 4$65.00Allowance
Parts and materialsAllowance: parts are known only after diagnosis.job1 to 2$140.00Allowance

Worked estimate range

Adding the firm lines to the allowances at their smallest and largest quantities gives a low end and a high end. The tax rate is an example only, so use your own and your local treatment.

Estimate rangeLow endHigh end
Firm lines$135.00$135.00
Allowances (minimum and maximum quantities)$205.00$540.00
Subtotal$340.00$675.00
Sales tax at an example rate of 8%$27.20$54.00
Estimated total$367.20$729.00

This is not a fixed price. It is a range the client can plan around until the unknowns are resolved.

Assumptions behind a plumbing estimate

  • The fault. The range assumes the fault is at the fixture or its supply line and can be reached without opening a finished wall.
  • Parts. Parts are an allowance until the fault is diagnosed. The final line is the parts actually used.
  • Time. Labor is a range of hours because repair time depends on access and corrosion.

What can change the price

Write these on the estimate so a revised figure is never a surprise:

  • A fault inside a wall or under a slab.
  • Corroded fittings that need extra replacement.
  • A permit requirement that appears once the scope is clear.

When to send a quote instead

A plumber gives an estimate when the problem still has to be opened up, and a quote when the fix is known, such as replacing a water heater. Once the scope is fixed, move to the plumbing quote template, which adds a fixed scope, exclusions, a payment schedule and a place to sign.

The paperwork is the part that gets you paid

An estimate or a quote wins the job. A clear invoice with a due date gets it paid, and a late fee stated on the document is one you can actually apply.
