Free cleaning estimate template

A free cleaning estimate template gives you the lines, the allowances and the assumptions to write down before the work is fully known.

The short version

A cleaning estimate often starts with a home or office the cleaner has not seen yet, so the visit type matters more than the size alone. A good cleaning estimate separates the lines you are sure of from the ones that depend on what you find, and gives the client a range.

Cleaning estimate lines and allowances

The estimate below is for a first visit to a home the cleaner has not seen yet, where regular visits are only a possibility. Each line is either firm or an allowance with a range of quantities. The rates are examples from the starter lines in the cost estimator, not market prices, so replace them with your own.

Line itemUnitQty or rangeExample rateBasis
Deep cleanvisit1$280.00Firm
Cleaning suppliesjob1$35.00Firm
Regular cleanAllowance: regular visits, only if the client confirms a schedule.visit0 to 4$90.00Allowance
Carpet and upholstery cleaningAllowance: carpets, only if they are included.job0 to 1$150.00Allowance

Worked estimate range

Adding the firm lines to the allowances at their smallest and largest quantities gives a low end and a high end. The tax rate is an example only, so use your own and your local treatment.

Estimate rangeLow endHigh end
Firm lines$315.00$315.00
Allowances (minimum and maximum quantities)$0.00$510.00
Subtotal$315.00$825.00
Sales tax at an example rate of 8%$25.20$66.00
Estimated total$340.20$891.00

This is not a fixed price. It is a range the client can plan around until the unknowns are resolved.

Assumptions behind a cleaning estimate

  • Condition. The range assumes a home in normal condition. Heavy buildup is an allowance or a deep clean.
  • Size. It assumes the rooms described on the phone or in the form.
  • Visits. Regular visits are an allowance until the client confirms a schedule.

What can change the price

Write these on the estimate so a revised figure is never a surprise:

  • Heavy soil or clutter on arrival.
  • More rooms than first described.
  • The client adding carpet or upholstery work.

When to send a quote instead

A cleaner might give an estimate from a description of the home, then a quote after a walkthrough that sets the task list and schedule. Once the scope is fixed, move to the cleaning quote template, which adds a fixed scope, exclusions, a payment schedule and a place to sign.

The paperwork is the part that gets you paid

An estimate or a quote wins the job. A clear invoice with a due date gets it paid, and a late fee stated on the document is one you can actually apply.
