What to include in an appliance repair invoice
- Diagnostic or service call fee. What it costs to come out and find the fault, listed first and marked as credited if the customer approves the repair.
- Make, model and serial number. Identifies the exact machine, so a warranty claim, a recall check or a repeat visit starts from the right unit.
- Parts with part numbers. Each replacement part with its manufacturer part number and price, so the customer can see what was fitted and you can reorder it.
- Repair labor. Hours worked and your hourly rate as separate figures, or a flat repair price, including the time spent testing the appliance before you leave.
- Fault found and work done. A short note of the failure, such as a failed drain pump or a shorted control board, and what you did to fix it.
- Parts and labor warranty. What is covered and for how long, stated separately for parts and for labor, so a callback is settled by the invoice rather than memory.
- Return trip for parts. A separate line when you come back to fit a back-ordered part, so the second visit is not quietly absorbed into the first.
- License number and service address. Your contractor or business license number where your state or city requires one, and the address where the appliance is installed.
