What to include in a personal training invoice
- Session dates and length. Each session's date and duration, so a pay-as-you-go client can match the bill to their calendar and spot a missed or double-charged session.
- Package size and sessions left. The number of sessions bought, used so far and remaining, which answers the question package clients ask most and prevents disputes at renewal.
- Package expiry date. When unused sessions lapse, printed where the client will see it, because an expiry nobody noticed is hard to enforce later.
- Program or nutrition plan. A written training program or meal plan billed as its own item, showing the client they are paying for planning time as well as time together.
- Travel or gym access fee. Travel to the client's home, or a studio or gym access fee, listed separately so the session price stays the same wherever you train.
- Late cancellation charges. A missed or late-cancelled session charged, or deducted from the package, under the notice period in your policy, with the date it happened.
- Certification and business details. Your business name, certification and contact details, which some clients need when claiming training through an employer wellness program.
