What to include in a mechanic invoice
- Vehicle, VIN and mileage. Year, make, model, VIN and the odometer reading in and out, so the invoice ties to one car and supports warranty and resale records.
- Concern, cause and correction. The complaint as the customer described it, what your diagnosis found, and the repair made, which is how most shops document a repair order.
- Parts with part numbers. Each part with its number, quantity and price, and whether it is new, used, rebuilt or aftermarket, which some states require you to state.
- Labor hours and rate. Hours and hourly rate as two figures for each job, so a customer checking the math can check it, and book time is visible if you use it.
- Diagnostic fee. Time spent reading codes and testing, on its own line, with a note if it is credited against the approved repair.
- Shop supplies and disposal. Rags, lubricants and used oil or tire disposal as separate charges, disclosed on the estimate rather than folded into labor.
- Approved estimate and authorization. The estimate the customer approved and how they approved it, by signature, phone or text, plus any added work they authorized later.
- Shop registration and warranty. Your shop's state repair registration number where one is required, and the parts and labor warranty in months or miles.
