The short version
A garage invoice is read by someone who cannot verify a word of it. That makes the parts list, the labor time and the authorisation trail the three things that decide whether it gets paid without an argument.
What goes on a auto mechanic invoice
Six things, in the order they belong on the page. The invoice generator opens a auto mechanic document with the lines already in place, so most of this is checking rather than typing.
- Show labor hours against each operation. Not a single labor total. Operation, time, rate.
- List parts with the part number. It is what a warranty claim needs and what stops the same part being fitted twice.
- Charge diagnostics as its own line. Finding the fault is work, and it is work even when the answer is that nothing is wrong.
- Record who authorised extra work and when. A phone call at eleven is worth nothing if it is not on the invoice.
- Put the vehicle registration and mileage on the document. It is the reference for every future job and every warranty question.
- State the warranty on parts and labor. Twelve months or twelve thousand miles, or whatever yours is, written down.
The lines a auto mechanic invoice usually carries
These are the lines the generator opens with when you pick Auto mechanic. The figures are a starting point to type over rather than a going rate: this site runs no pricing survey, and the number on your invoice should be the one you charge.
| Line | What it covers | Qty | Opens at |
|---|---|---|---|
| Diagnostic check | Read the fault codes, road test where needed and report what is actually wrong before any work starts. | 1 | $60 |
| Parts | Replacement parts installed to the vehicle. Prices confirmed before ordering. | 1 | $320 |
| Labor (per hour) | Workshop time charged as worked, at the rate agreed on booking. | 3 | $85 |
| Oil and filter change | Drain and refill with the correct grade oil, renew the filter and reset the service indicator. | 1 | $75 |
Add, rename, reorder or delete any line, and set tax per line where it applies. Priced as they open, that comes to $710 before tax.
A worked auto mechanic invoice, filled in
This is the same job as the table above, written out the way it would leave your phone. Every figure on it is a starting point rather than a going rate, and the tax line is shown at ten per cent purely so the arithmetic is visible: set your own rate, or none, per line.

| Oil and filter change | 1 | $75 | $75 |
| Subtotal | $710 |
| Tax at 10% | $71 |
| Total due | $781 |
Late payment. State your own rate and when it starts, so it is agreed before the due date rather than argued after it.
Subtotal $710, tax $71, total $781. The parts worth copying are the structure rather than the numbers: the job reference next to the client, every line separately priced with its count showing, the tax on its own line, and terms that name a number of days instead of saying on receipt.
Diagnostics, and charging for finding out
Customers accept paying for a part and they accept paying to have it fitted. What they resist paying for is the hour that established which part it was, which is often the most skilled hour in the job.
Bill diagnostics as a named line with its own time. State it when the vehicle is booked in, and state what happens to that charge if the customer then authorises the repair, because many garages absorb it into the job and it is worth saying so rather than leaving it assumed.
The same line protects you when the diagnosis is that nothing is wrong. An intermittent fault that does not present is still an hour of your ramp, and a customer told in advance that diagnostics are chargeable pays it.
Authorisation, and the extra work found on the ramp
Almost every dispute in a garage is about work the customer says they did not agree to. The fix is procedural and it goes on the invoice.
When you find additional work, call, get agreement, and record on the invoice the date, the time, the name of the person who authorised it and the figure they authorised. Three extra words on a line remove the entire argument.
Where a customer declines recommended work, record that too. An advisory line showing brake discs recommended, declined by customer, dated, is what protects you if the same discs cause a problem six months later.
Parts, markup and fleet accounts
Parts markup is normal and universal in the trade. What makes it contentious is a customer discovering it rather than understanding it.
List each part with its number and your selling price. Where you fitted a customer-supplied part, say so and state that it carries no warranty from you, otherwise a failure becomes a free second job.
Fleet and trade accounts need a different document again: the vehicle registration as the primary reference, a purchase order number, consistent operation descriptions across vehicles, and terms in days. A fleet manager reconciling thirty invoices reads registrations, not descriptions.
Hourly, fixed price or per unit: how auto mechanics price the work
Garages price labor by book time or by clock time, and parts on top of either. Book time rewards an experienced technician and clock time protects you on the seized bolt, which is why most workshops end up using both depending on the job.
| Model | Where it wins | What it quietly costs you |
|---|---|---|
| Book time at an hourly rate | Servicing, known repairs, anything with a published time | A rusted or seized job takes far longer than the book says, and you wear it |
| Clock time at an hourly rate | Diagnostics, electrical faults, restoration, anything unknown | The customer cannot see the work, so the invoice has to narrate it |
| Fixed price service or repair | Menu servicing, cambelts, brakes, anything you sell as a package | It has to state exactly what is and is not included, or it becomes everything |
Diagnostics is its own line whatever model you use. It is frequently the most skilled hour in the job, it is the hour customers most resist paying for, and it is chargeable even when the answer is that nothing is wrong.
Working out what to charge
This guide is about what goes on the document, not what the number should be, and nobody should hand you a rate for your own market. What the site can do is the arithmetic: the freelance rate calculator works back from what you need to earn, the service price calculator prices a service against your costs, and the profit margin calculator checks what is left once the job is done.
Writing it on your phone, in five steps
Most auto mechanics write the invoice standing next to the work rather than at a desk a week later, and the week later version is the one that gets details wrong. The generator is built for the first case.
- Open it with your trade already chosen. The auto mechanic invoice loads with diagnostic check and the rest of the lines already on the page.
- Put the client and the job reference in first. It is the part you will not remember accurately in three days, and on agent, landlord or contractor work it is the reason the invoice gets paid at all.
- Edit the lines rather than starting from empty. Change the quantities and the rates, delete what you did not do, add what you did. Keeping the descriptions means the wording stays consistent from one job to the next.
- Set the terms to 7 days and add a payment link. A due date that is an actual date gets chased. A link and a QR code means it can be settled before you have packed up.
- Send it before you leave. The clock on your terms starts when the invoice arrives, not when the work finished, so every day it sits unsent is a day added to getting paid.
Getting paid once it is sent
Put a due date and your terms on the document, because an invoice without them is hard to chase. Add a payment link and a QR so settling up is a tap rather than a transfer somebody has to set up. When part of it lands, the receipt maker records it as a part payment and prints the balance still due. If the due date passes, the late fee calculator works out what your own terms allow and writes the chasing letter to go with it.
Five dates decide whether a auto mechanic gets paid on time, and four of them are set before the work starts.
Mistakes that cost auto mechanics money
- One labor figure for the whole job. No operation, no time, nothing the customer can weigh.
- Parts without numbers. Warranty claims fail and repeat work is guesswork.
- Diagnostics given away. The most skilled hour in the job charged at nothing.
- Authorisation not recorded. Every additional job becomes your word against theirs.
- No registration or mileage. No history, and no reference a fleet customer can use.
Auto mechanic invoice questions
How do I write a mechanic invoice?
Show labor hours against each operation, list parts with part numbers and prices, charge diagnostics separately, record who authorised any extra work, and put the registration and mileage on the document. The generator opens a garage invoice with diagnostics, labor and parts already listed.
Should I charge for diagnostics?
Yes, as its own line with its own time, and say so when the vehicle is booked in. It is often the most skilled hour in the job and it is chargeable even when the fault does not present.
How do I handle extra work found during a repair?
Call, get agreement, then record the date, the time, the name of the person who authorised it and the amount on the invoice. That record is what prevents the most common dispute in the trade.
Should I mark up parts?
It is standard practice across the trade. What matters is that each part appears on its own line at your selling price with the number shown, so nothing is discovered by accident.
What if the customer brings their own parts?
Fit them at your normal labor rate and state on the invoice that customer-supplied parts carry no warranty from you. Without that, a failure becomes a free repeat job.
How do I invoice a fleet customer?
Use the vehicle registration as the primary reference, include the purchase order number, keep operation descriptions identical across vehicles and set terms in days. Fleet managers reconcile by registration.
What should a garage invoice include?
Your details and the customer, the vehicle with registration and mileage, diagnostics, each operation with labor time and rate, parts with numbers, any authorisation record, the warranty, the total and your terms.
